Privacy policy
Cashroom is a classroom economy app. Teachers use it with their students to practice earning, saving, borrowing, and spending pretend class money. This page explains what Cashroom stores, why, who can see it, and how a school can get it back or have it deleted. Questions go to support@cashroomapp.com.
The short version
- Cashroom only collects what it needs to run a classroom economy.
- Students are shown by first name and last initial. Full last names are never stored.
- No ads, no tracking, no analytics tools, and no selling or sharing of student information.
- Cashroom has no AI features and does not send student data to AI services.
- The money in Cashroom is pretend. No real money moves for students, and students never give payment details.
What Cashroom stores about students
A teacher adds students to a class. For each student, Cashroom stores:
- First name and last initial, the username or student ID their teacher sets up for them, and which class they are in.
- A password, stored scrambled (hashed) so that no one can read it, including the teacher and Cashroom.
- Class money activity: checking and savings balances, every transaction (paychecks, bonuses, fines, bills, purchases, interest), store orders, coupons, auction bids, savings goals, class jobs held, job applications they write, loans, loan payments, a class credit score, and badges earned.
- Choices the student makes in the app, such as an emoji avatar.
- A record of each sign-in attempt (time, ID used, and whether it worked), used to lock out password guessing.
Cashroom does not ask students for email addresses, phone numbers, home addresses, birthdays, photos, or full last names.
What Cashroom stores about teachers
- Name, the name students see (for example, Ms. Smith), email, district teacher ID, school, district, and state.
- A scrambled password and a scrambled recovery code.
- An optional profile photo the teacher uploads.
- Classroom settings: classes, jobs, store items, bonus and fine buttons, schedules, and plan.
Why it's stored
Only to run the classroom economy: to show students their balances, let teachers manage the class, keep sign-in secure, and keep an accurate record so mistakes can be undone. Cashroom does not build profiles for advertising and does not use student information for anything outside the class.
Who can see it
- Students see their own account. They do not see classmates' balances or IDs.
- Teachers see the students in their own classes.
- Cashroom can access the database only to keep the service running, fix problems, or answer a request from the school.
Where it's stored and how it's protected
- Cashroom runs on Cloudflare. The database is stored in Eastern North America and is encrypted at rest.
- Every connection uses HTTPS.
- Cashroom uses one cookie: a sign-in cookie that keeps you signed in and nothing else. Teachers are signed out after 12 hours and students after 3 hours, so shared devices don't stay signed in.
- Five wrong passwords pause sign-in for that account for 15 minutes.
- Like any website host, Cloudflare processes technical information such as IP addresses to deliver pages and block attacks. Cashroom does not store IP addresses in its database.
Other services
Cloudflare is the only service that holds student data. If you email Cashroom support, your email is handled by Google Workspace. When paid teacher plans open, payments will go through Stripe, and card details go straight to Stripe, never to Cashroom. Students never use payments.
No sale, no ads, no AI
Cashroom does not sell, rent, or trade personal information, does not show ads, and does not use student information to train AI models or send it to AI services.
Keeping and deleting data
- Data stays while the class is using Cashroom.
- A school or teacher can ask for a copy of its data, and Cashroom will provide it within 10 school days.
- A school or teacher can ask for its data to be deleted. Cashroom deletes it from the live database; backups roll off automatically within 30 days. Cashroom will confirm in writing once the backups have expired.
- Families who want to see or correct a student's information should contact the student's teacher or school, since the school controls the student's education records. Cashroom will help the school respond.
If something goes wrong
If Cashroom confirms that student data was accessed without permission, it will notify the affected school or district in writing within 24 hours of confirming it, and follow up with a written report.
Changes to this policy
If this policy changes, the new version will be posted here with a new effective date. Changes that affect how student data is used will be shared with schools using Cashroom before they take effect.
